In order to obtain access to Cisco Secure email, a user needs to have a manager, department head, dean, or security contact submit a ticket to the IT Service Desk. In the ticket, OIT will need a statement describing the business need for encrypted email. We will also need the user’s primary exchange email address (“@ua.edu”).
Sensitive Data Matrix
When deciding whether an email should be encrypted or not, you may refer to the Sensitive Data Matrix for reference. Any email which contains sensitive data should be encrypted.
Using Outlook Plugin
Users in OIT supported areas will receive the installation file via UA+Box. Users in other areas will need to contact their departmental IT staff to obtain the plugin.
Registering the Outlook Plugin
Upon receipt of first encrypted message, download and open the securedoc.html attachment, click on OPEN to begin the registration process.
After registering with Cisco, you will be able to encrypt and decrypt messages using the Outlook plug-in or “subject line keyword” encryption, see screenshots below.
To encrypt a message with the plug-in, click the “Encrypt Message” button before sending, it will prompt you for your Cisco password, with your email address pre-populated.
After entering your password, there will be some options for sending, select your preference, then send.
Decrypting and Viewing an Encrypted Email
To decrypt a message and view it within Outlook, double click the message and input your Cisco password.
To view the message within a web browser, click on the sercuredoc attachment and input your Cisco password.
Forgot Your Password?
If you forget your password, click the Forgot Password? link on a Registered Envelope to reset your password. Cisco Registered Envelope Service will send a New Password message to the email address associated with your account.
If you have specified security questions for your account, the New Password message contains a link to your security questions. Answer the questions to access the Create New Password page. Choose a new password, and use that password to log in to your account.
Note — If you fail to correctly answer the security questions on five consecutive attempts, you will be locked out of your account for one hour.
If you have not specified security questions for your account, the New Password message contains a link to the Create New Password page. Choose a new password, and use that password to log in to your account. When you log in, you will be prompted to specify security questions for your account (unless you have configured Cisco Registered Envelope Service to bypass security questions when resetting passwords in your user profile).

To encrypt an email message using the “subject line keyword”, simply add “[secure]” to the beginning of the subject line:
